Im now on the waitinglist for the VFS embassy. Once they will send me a email so i can book a appointment, do i have to submit any documents online or information? Or do i need to submit everything in person?

I’m Dutch myself and have been working internationally as a model for the past 2 years. My girlfriend is Russian and also works as a model. We’ve been living together in different countries for several months at a time, and now she wants to visit me in the Netherlands this summer.
We’re applying through VFS, but I’m really confused about the appointment system. She lives in Moscow. I first tried applying there, but it just says there are no available slots. Then I applied through St. Petersburg instead, where we were placed on a waiting list.
Does anyone know how long the waiting list usually takes? And once you receive an appointment by email, how far in advance is the appointment normally scheduled?
We’re trying to plan the trip, but it’s almost impossible because we have no idea how long the process will take. The Schengen application form asks for approximate travel dates, but I can’t estimate them properly without knowing when the appointment will be. The dates also need to match the insurance, flight reservation, and other documents.
What would you recommend doing in this situation? Because once i can book a appointment, do i need the details from my schengendocument? Because i have not filled it in yet. And do i need to upload any other documents for the vfs appointment? I read that once i receive a email i have 48 hours to book a appointment..
Any advice would be really appreciated.
