Honest question for anyone managing finances across multiple clients — how do you handle their SaaS subscriptions?

Not the big stuff. The $12/month tools that multiply quietly. I'm talking about the client who has 14 active subscriptions, 3 of which are duplicates, and none of which are documented anywhere. Trying to figure out if people have a system for this or if everyone is just doing the archaeology every quarter.

Found out our Notion bill was being paid by "the company" when really only 2 out of 6 departments actually use it

Nobody thought to question it for 14 months. Started wondering how many other tools we're paying for at the company level that really only serve one team.Turns out tracking which department actually uses which subscription is somehow a completely unsolved problem at our size. Enterprise tools want you to be 200 people. Spreadsheets break the moment someone joins or leaves a team. How do other small teams handle software cost attribution? Or does everyone just throw it into general overhead and not think about it?
