How do you handle subcontractor COI and license tracking? What's your system?

Running around 15-20 active subs at any given time. Keeping track

of who's current on COI, workers comp, state licenses, and OSHA

certs has always been a headache.

Currently spreadsheets + whoever remembers to follow up. Nearly

had a sub start a job with expired workers comp last month -

caught it the day before. Pure luck.

What does your system actually look like? Software? Binder?

Admin person who owns it?

Curious what's actually working for people out there.

How does your office actually handle subcontractor COI and license tracking?

Got about 20 active subs running at any given time. Keeping track

of who's current on COI, workers comp, licenses, and OSHA certs

is always a disaster waiting to happen.

Currently it's spreadsheets + whoever remembers to follow up.

Nearly had a sub start a job last month with an expired workers

comp - caught it the day before. Pure luck.

What does your workflow actually look like? Anyone have a system

that works, or is everyone just winging it?

How do you track subcontractor COIs and license expirations? Is everyone in spreadsheet hell?

Running a small GC operation with ~15 active subs. Currently tracking

COIs, contractor licenses, and OSHA certs in a spreadsheet.

Works until it doesn't. Last month caught an expired workers comp

literally the day before a job started. Pure luck.

Curious how other GCs actually handle this day-to-day:

- Still spreadsheets? Something else?

- Do you chase subs manually or have a system?

- Has an expired doc ever actually stopped a project for you?

Not trying to sell anything - genuinely trying to understand how

people deal with this before I build a solution.
