How do you hand off client meeting details without losing half the context?

A big part of my job is meeting with clients, figuring out what they need, then passing the summary to the coworker who takes over the case. Where it breaks down is the handoff. We still lose a lot of detail.

It usually goes like this:

  1. I have the client meeting
  2. A meeting summary gets generated
  3. I send it to my coworker
  4. They come back with a bunch of questions because the summary only caught the main points
  5. I either have to ask the client again or explain the same context to my coworker again

The annoying part is that the small comments from the client often matter later, but they don’t always make it into the summary.

Any suggestions for making this cleaner? Has anyone used a meeting recorder, AI note device, or transcript setup that makes client handoffs less messy?
