Offering cold email to commercial roofing businesses. Anyone has done it before?

Has anyone had success offering cold emailing outreach for commercial roofing contractors to help them fill their sales pipelines/get them opportunities on commercial roofing jobs?

I am considering helping to a commercial roofing business client with outreach and trying to figure out if this niche (their ICP, property managers, commercial building owners...) can actually get results and how. My concern is if their ICP respond to this outreach method and who I should actually be targeting specifically.

Specifically curious about:

  • Are property managers / facility managers reachable via cold email, or do they just ignore cold email entirely?
  • How should I help them define their ICP and how to build such lead list?
  • Is the free inspection angle a good cold offer as front end offer?
  • What offers and email sequences work well to help them build opportunities/leads pipeline?
  • Does the long sales cycle (6–18 months for replacements) make cold email pointless, or do you just need to play the long game?
  • Anyone had better luck targeting the building owners directly vs the property managers?
  • Anyone who actually have run cold email campaigns on behalf of commercial roofing businesses and can advice on it?

Would love to hear from anyone who's actually run campaigns in this space — what worked, what bombed, what you'd do differently. I do not want to get into business relation where I cannot ensure some decency of results. Also to add, this company is starting to build their commercial side, so if we work together I will be helping them quite a lot to define targeting, what to avoid, what to look for, and just designing the whole GTM strategy.

Been exploring what works best for cold email in 2026 lately.

Something that I am constantly thinking about is finding the sweet pot between quality vs volume. Specifically, how to balance good, personalized, high-intent signal leads vs overall just scraping a tone of leads for a specific ICP at high volume from Apollo for example.

I would love to know how you guys go about finding thousands of leads through high-intent signals, what is working best for you to improve targeting, methods, tools, and feasible ways to scale this process of finding good quality leads ready to hear what you and your clients have to offer.

This indeed is a mastery in itself within the cold email realm, but feel that not many people talk about it when in reality for me, once infrastructure is well taken care of, targeting becomes the second most important part of successful campaigns. Good copy is a consequence of right targeting. Once that is in place, then is a matter of refining offer and A/B testing until the best angle clicks, then doubling down.

Has any of you tried to do manual warm-ups to boost your reputation? And how can you do this in a sustainable way when you have 70+ inboxes? (as oppose to actually sending emails to friends from 70+ inboxes...)

Hey guys,

Fixing my deliverability issues, I have heard several times the idea of "aged domains" to be used on cold email campaigns. But I am not sure where this is coming from. The idea is to buy a domain, and not use or even warm up after 30 days or so. Afterwards, warm up for 2-weeks minimum before going live on a campaign. Is this actually true and necessary?

Cannot you just buy a new domain, set DNS, start warming up, and launch campaign after 2-3 weeks of warm up?

And finally, with proper email infraestructure, 2-3 weeks of warm up... how long may those domains last for cold email campaigns before they are burned or flagged and deliverability drops significantly? I know it will depend on many factors but I am asking for industry average from people with years of experience in the sector.

Some people say a few weeks, but I was wondering if someone actually gets to use the same domains for months across several campaigns before they might have to be swapped.

Just ran a cold email campaign recently (commercial roofing contractors, US market) and hit a wall with deliverability. Posting here because I want to actually understand what happened, not just fix it blindly and repeat the same mistake.

What we set up (full checklist):
- 10 sending domains, (2 of them bought in October 2025, the rest bought a month before launching the campaign). 2 of them were used to get 25 inboxes each from Microsoft, the rest of the 8 I got 3 inboxes from Google.
-ScaledMail used as the inbox provider and set up, Smartlead as the email sequencer
- SPF, DKIM, DMARC, MX confirmed green on all domains
- Open and click tracking were off during campaign 
- Warmup ran 2+ weeks (some of them around 3 weeks or a bit more) through Smartlead before any cold sends
- Warmup kept running alongside live campaign
- Google inboxes: 15–17 sends/day. Outlook: 5/day. Both within safe limits.
- Plain text emails only. No images, no HTML, no logos.
-Hardcoded signature on email
- Copy was under 100 words
- Opt-out line added as PS below the signature
- Lead list verified (bounce rate came in at 0.43% — well under the 2% ceiling)
- Pre-launch spam test: Mail Tester 10/10
-Copies were spintaxed
-Spam filter + spam words test checked beforehand
-Spell check passed
-Spammyness/deliverability test double check during campaign through mail-tester: still scoring 10/10 (even from a domain that on EmailGuard and GlockApps shows 50-60% spam rate).
-Tried to send several test emails before campaign to one of my inboxes: landing on inbox, not spam

What happened:
- Campaign launched, first replies the first day, reply rate around 1.3%. More replies coming in the next few days, even a positive one. However after 6 days, reply rate came in around 0.5% (without autoreplies, with them we are around 0.7%).
-Total new leads reached were 855, total emails sent 1,454. 10 replies total (4 not interested, 4 auto replies, 1 positive).
- One inbox's warmup health started dropping 4 days into the campaign.
- Ran GlockApps deliverability test — got 58–61% inbox placement (one for a Gmail inbox, one for a Outlook inbox)
- ScaledMail ran their own test (EmailGuard) — showed 50–60% spam rate on most of the Gmail inboxes
- Paused campaign immediately (this was around day 6 of campaign live)

The part I can't explain:
One of the gmail domains showed a 50% spam rate on the deliverability test through EmailGuard. But this domain was **never used for cold sends, not included in the campaign**. It was warmup-only, kept as a backup. No cold emails ever went out from it. No real recipients who could have reported it as spam. How is it flagged?

Not sure if this has anything to do but:
-We made a change on the sender name for all these accounts the day before the campaign, then reuploaded all inboxes on Smartlead, then we launched the campaign the next day. However, all these inboxes were already warming up on SmartLead for 2-3+ weeks before the campaign.
-A domain website was included at the end of the signature, even when plain text mode was selected. Wonder if that could cause an issue. Yet, again, one of the domains was not used for cold email, still reporting 50% spam rate after EmailGuard report.

I am trying to understand if this could be a spam complaint from Google in any way, but that doesn't apply to a domain that never sent a cold email.

Copy note:
There may have been minor spam trigger words in the copy ("only", "get") and one typo caught after launch. Curious whether that alone could tank deliverability within 3–4 days of sending, or if that's a minor factor vs infrastructure.

The question I keep hitting on aged domains:
- Can you buy a brand new domain, warm it up for 2 weeks, and start sending? Or is there a 30-day block window on fresh domains where Google/Microsoft won't deliver regardless of warmup?
- If aged domains are the answer — where do you actually source clean aged domains and how to use them if you want them as a sub-domain from your main domain (so there is a brand association)? And does "aged" just mean time since registration, or does the domain history matter too?

What I'm looking for:
- Anyone who's run into this and knows what actually caused it
- Clarity on the new domain vs aged domain question
- If you're willing to hop on a 20–30 min call to walk through this with me, I'd really appreciate it. Happy to share screens and show the actual test results.
-Otherwise, any other feedback on this post is highly appreciated.

Eager to learn, not looking for someone to fix it for me.
