How do you keep Outlook and Microsoft 365 organized without creating too much maintenance?

Hey!

I am trying to make my Microsoft 365 workflow more sustainable, especially around Outlook, Microsoft To Do and general information capture.
At work I use Outlook as my main inbox and Microsoft To Do for tasks. Like many people, I get a mix of actual tasks, emails that need a reply, things I should read, useful links, meeting follow ups, reference material and general information. I want a system that helps me stay on top of this without spending too much time maintaining the system itself.

What I struggle with is the boundary between different kinds of items. Some emails are real tasks. Some are just information. Some are useful references that I might need later. Some are interesting articles or reports that I want to read, but not urgently. If everything stays in the inbox, it becomes messy. If I create too many folders, categories or lists, the system becomes too much work.

I am curious how people use Microsoft 365 in a practical, low maintenance way. How do you decide what stays in the inbox, what gets flagged, what becomes a Microsoft To Do task, what goes into folders, what gets categorized, and what gets stored somewhere else such as OneNote or SharePoint? Do Outlook rules, categories, Quick Steps, flagged emails, search folders or Power Automate actually help in practice, or do they tend to create more complexity?
I am especially interested in systems that work over time, not just setups that look neat on day one. I want something simple enough to maintain during busy weeks, but structured enough that important tasks, follow ups and useful reference material do not disappear.

One specific use case is that I sometimes send myself work relevant links or notes from outside work, and I want them to enter my work system without turning my inbox into a read later pile.

Outlook e-mail won't connect to server, BUT

I have two Verizon/Yahoo e-mail accounts on my laptop, both used through Classic Outlook. One works fine, the other gives an error message reporting it cannot connect to the server. I used "Repair" on the faulty profile, updated the app, made sure the IMAP/SMPT numbers matched, without success. That profile doesn't work on my Android cell, either. Any suggestions? Cross-posted.

Hello, I have been trying to recover my Outlook account for several months. I no longer have access to my old phone number, and when I tried to update it, my account was flagged for suspicious activity.

I have an Outlook account that I have been using for a long time, and it contains very important work-related emails. Unfortunately, I no longer have access to my old phone number. When I tried to update my security information, Microsoft flagged my account for "suspicious activity" and forced me into the account verification process.

I have completed the recovery form multiple times over the past several months, but nothing has been resolved. I can provide detailed information about the account, including previous passwords, contacts, email history, and any other information necessary to prove that I am the legitimate owner.

What I don't understand is why there seems to be no way to have a real person review my case. My work has been seriously affected because I have lost access to important accounts and communications. This situation has caused significant inconvenience and financial loss.

I am respectfully requesting that my case be reviewed by a human support agent instead of relying solely on the automated recovery system. Please let me know what additional information I can provide to verify my ownership and regain access to my account.

I sincerely hope someone can finally help resolve this issue.

Built a chrome extension that tracks email opens in Gmail AND Outlook

My office uses Outlook and I use Gmail for my personal email and I couldn't find a tool for tracking email opens that supports both, so I created one myself. It shows how many times, at what time, and from where your emails have been opened. Multiple emails from a single sender have all disappeared from my inbox.

Pretty much as the title suggests. I made a hotel booking last November, then in May I received an email informing me the hotel was closing and that they were out-booking me. I then received further confirmation emails regarding the new booking. So in all, there were separate instances, spread over several months where I received emails from them. But now I've just searched my inbox to find the booking info, and it's gone. But not just that email, every single email from the hotel chain has disappeared from my inbox.

I know I didn't delete them, because I don't delete emails. I've tried scrolling through my entire inbox to see if it was a search issue, but no, nothing there. Does anyone have any idea where these emails could have gone?

For reference, I've searched on the mail app on iPhone, Mac, and the browser app on Mac.
