Which business email are you using for a custom email domain and why: Google Workspace, Outlook or something else?

My sister recently opened a plant nursery and is trying to set up a custom email domain for it. She asked for my help but the more I research, the more it seems like Google Workspace and Outlook are the default options, but they might not be the best for her small business needs.

From what I have seen, google workspace looks easy and convenient at first, but the costs add up very fast, especially when you need multiple inboxes. On the other hand, Outlook seems good too, but I have heard mixed reviews about its usability and setup, especially with those recent issues with it not working on Android and Apple phones. Since she wants to keep her costs low, she is looking for a provider which is easy to use and manage for professional emails.

I feel that it does not make any sense to pay premium pricing for neither Google Workspace nor Outlook. I also came across some other business email providers like Proton Mail, Zoho Mail, and others too, but the information I find just feels overly promotional and frustrating.

So, people who have been using these providers, what is your take on them and what made you choose it?

What professional email provider should I go for that is affordable and easy to set up?

How to recall an email in Gmail? Sent a wrong file to the customer.

I sent an update to one customer about a custom crochet order, but I had a few email threads open and accidentally attached the wrong file. It had pricing notes, supplier details and private order comments that were absolutely not meant for that customer.

I noticed this maybe a few seconds later, jumped back into gmail but till then, the Undo Send option was already gone. I kept looking for some kind of a recall button, but unless I am missing something, gmail does not really let you pull an email back once it is sent. I’m stuck trying to decide the least awkward damage-control move.

Now, Do I send a quick apology and ask them to delete it?

Is there any real way to recall it in Gmail after Undo Send disappears? Or is Gmail just not built for this kind of business mistake?

Why is setting up an email signature such a nightmare if you are not using Outlook or Gmail?

I run a small business and spent nearly two hours the other day trying to set up what should have been the most basic email signature ever. Name, business name, Instagram link, maybe a small logo. That’s it.

Somehow, every email provider handles it differently.
The logo looked normal on my laptop but massive on my phone. One email app destroyed the spacing. Another turned all my links blue and underlined everything like it was 2008. Then I replied to an email and the whole thing looked even worse.

What annoys me the most is that almost every tutorial online assumes that you are using Gmail or Outlook, but plenty of small business owners, freelancers, and founders are using other business email providers now, and it feels like we are all just expected to figure it out manually.
How are people actually managing email signatures across teams, devices, and different email clients?

Are you fixing signatures one by one, using third-party tools, or are there email providers that actually handle this properly?

Thinking of using a custom email domain for personal email. You think it's a good idea?

My gmail inbox is a complete mess and everything just keeps piling up there. So, I am trying to decide whether to use a custom email domain and use it for personal email only for something like me@myfullname.com for personal/main use, then social@myfullname.com for logins/newsletters and maybe even different email addresses for random websites and signups. I am still deciding between self-hosting and using hosted providers like iCloud+, pDrive (to save on costs long-term).

Is it worth the effort?

You know anyone who is doing this?
