W2 Preview report question
Background: Hi, asking this as a total rewards person trying to work on annual non discrimination testing for one of my company’s FSAs. Said company is huge, so I don’t have the ability to pull and configure my own WD reports. The report I’ve been told to use and provided with in order to get employees’ W2 info is the “W2 preview.” Upon first glance, it looked like everything we need to perform the testing. However, I have a potentially very silly question on this. We have many “companies” within my employer, and many employees will move around throughout the year so they will get 2 or more W2s for Company A, Company B, etc. even though they are all within the same main employer. The way this report is set up, it’s pulling the box 12 codes into duplicate rows of Box 1-11 info, and then has box 12A, 12B onwards in their own cell for each row, and not in their own columns like every other field.
My question: if someone has worked in multiple companies, they will have several duplicate rows of box 1-11 data, and will also have duplicate box 12 info. I have tried digging into this with payroll and our data team but no one will answer me 100%, so naturally I came here. I understand that each row of data per company is independent of the other. For example, box 1 earnings from Company A do not include box 1 earnings for company B. To get total annual box 1 amounts for an employee, you need to combine both rows. Does the same logic apply for the box 12 amounts given how they are laid out?
Bonus points if anyone knows of another report out there which already has all of the amounts summed in one clean row per employee!
