Japan Tourist Visa Approved (VFS Gurgaon) – Timeline, Application Gotcha Fixes & AMA!

Just got my passport back with an approved Japan Tourist Visa (Short-Term Stay) processing through VFS Gurgaon (Embassy of Japan).

Since I had a few micro-hiccups during my application process (and figured out the workarounds thanks to this community), I wanted to post my complete timeline, exact document stack, and key learnings to help out anyone currently applying.

📅 Timeline

  • Aug 6, 2026: Submitted physical application at VFS Gurgaon counter.
  • Aug 7, 2026: Application forwarded to Japan Operation Center / Embassy of Japan.
  • Aug 12, 2026: Visa processed, stamped, and passport returned! (Total time: ~5–6 working days).

📄 Exact Document Stack Submitted (In Order)

  1. Original Passport
  2. Visa Application Form (2 pages, filled in block letters, single white-background 2x2 photo glued—not stapled—on page 1).
  3. Cover Letter (Addressed to The Visa Officer, Embassy of Japan, New Delhi).
  4. Schedule of Stay / Itinerary Table (Clean 1-page daily schedule specifying entry flight, daily day-trips, and hotel contact info).
  5. Flight Reservation (Initial flight reservation/hold details matching the Schedule of Stay dates - They were Emirates hold the price (72 hours so they got expired as soon as my application reached the embassy so NO THEY DO NOT ASK CONFIRMED FLIGHT BOOKINGS).
  6. Hotel Confirmation Voucher (Fully verifiable booking PDF with reference number, hotel address, and contact number) - Used Accor Pay at Hotel
  7. Bank Statements (Last 6 months, original with physical bank seal and sign).
  8. Income Tax Returns (ITR-V) (Last 3 years acknowledgment).
  9. Employment Proof:
    • NOC from employer.
    • Last 3 months' salary slips.
  10. Passport Photocopies (Bio pages - First & Last page).

💡 Key Takeaways & Lessons Learned

  1. Cover Letter Essentials: Keep it brief! You don't need to put the full hotel address in the cover letter text—just state your main base hotel name, travel dates, and purpose of travel. Save the full address/phone for the Application Form & Itinerary Table.
  2. Flight Holds / PNR Expiry: My initial unpaid Emirates flight hold expired and got canceled midway through embassy processing (as system holds normally do after 24–72h). Don't panic! The embassy is aware that un-ticketed hold reservations drop off. As long as your initial submitted itinerary dates line up with your hotel bookings, they process it smoothly. If they need active tickets, they simply request updated files via email.
  3. Payment at VFS Gurgaon: If you don't have a cheque book for a Demand Draft, Please arrange one. at VFS Delhi they accept Cash but since Gurgaon is like a dropbox you have to have DD (800 VFS Fees + 500 Japan Visa Fees + Optional 500 Courier Fees)
  4. Schedule of Stay Alignment: Ensure your Schedule of Stay table fits on 1 page and check for typos/formatting bugs before printing to PDF. Double-check hyphens or line breaks so text doesn't wrap weirdly into the wrong columns.

US refusal (June 10) & Greece Schengen refusal (July) despite ₹10L+ balance & corporate job - Reapply now vs 1-year cool-off?

​I’m looking for some community insight on our recent visa situation. My wife and I planned an autumn trip to Greece and Italy, but hit two consecutive visa refusals within a 60-day window.

​Our Timeline & Details:

​June 10, 2026: Refused US B1/B2 visa under Section 214(b).

​July 2026: Submitted our Schengen application for Greece via VFS New Delhi for our upcoming trip.

​Late July 2026: Refused by the Greek Embassy. Checked boxes: Reason 10 (unreliable information regarding justification/purpose of stay) and Reason 13 (doubts regarding intention to leave Schengen territory).

​Documents We Submitted:

​Financials: Stamped bank statements showing maintaining funds of ₹10+ Lakhs (INR), strong ongoing monthly salary flow, and ITRs.

​Employment: Official employer Leave Sanction / NOC on company letterhead from a top tech/consulting firm, along with pay slips.

​Travel Credentials: Comprehensive day-by-day itinerary, flight reservations, and hotel bookings across Greece and Italy.

​Personal Roots: Proof of ties to India (marriage credentials, stable employment).

​What We Suspect Went Wrong:

Looking into Reason 10, we realized there was a procedural verification lapse with our hotel reservation ID during the embassy’s background check—the reference code flagged as unconfirmed/invalid while being processed, which instantly triggered Reason 13 (intention to return).

​Questions for the Subreddit:

​Where did we go wrong with Greece? Given that we showed a liquid maintaining balance of ₹10L+, a solid corporate job, and complete travel itineraries, is a reservation verification lapse enough on its own to trigger Reason 10 and 13? Or did the June 10 US refusal play a silent role?

​Reapply now vs. Cool-off period? Should we reapply immediately for Schengen with locked-in, direct hotel receipts, or take a 1-year cooling-off period to avoid looking desperate ("refusal shopping")?

​If we wait a year, would a trip to non-Schengen destinations (like Turkey, Japan, or Georgia) in the interim help rebuild travel credibility before our next Schengen attempt?

What did i do wrong? If he asked i would have presented a 8 lakh balance bank account, i followed the tips from here to not overshare on things
