Who handles unclear ACH/wire payments in MCA shops?

For MCA, collections, or funding operations teams:

When an ACH or wire hits the bank but the description does not clearly match the merchant/file/funder, who usually handles figuring it out?

Accounting?

Operations?

Collections?

A manager?

The broker?

Someone else?

And is there a set workflow for this, or is it usually manual detective work through the CRM, bank history, spreadsheets, emails, and notes?

Curious how this is handled in real shops.

Is payment reconciliation still a pain point in MCA/collections — especially matching ACHs and wires to the right file?

Question for people in MCA, collections, or funding operations:

How are teams handling incoming payments that are hard to match to the right merchant, file, or funder?

I’m talking about the messy cases where an ACH, wire, processor deposit, or bank transaction comes in with a shortened name, unclear remitter, limited reference info, or multiple possible matches.

Are most shops still handling this manually through bank activity, CRM searches, spreadsheets, emails, and prior payment history?

I’m asking because I’ve seen this become a real operational bottleneck in collections/payment review, especially when payments need to be posted correctly and nobody wants to guess.

Curious how people are handling this today and where the process usually breaks down.
