[Hiring] Remote VA / Practice Manager for a small telehealth therapy practice — part-time, $4.50/hr USD, room to grow into an EA role

Hi all — I run a small telehealth-only psychotherapy practice (trauma, attachment, and life transitions) and I'm looking for an organized, discreet VA / practice manager to take day-to-day operations off my plate so I can stay focused on clients.

Fully remote, part-time — 3–4 days/week to start, likely more over time. Because you'd be handling protected health information, HIPAA awareness and a signed BAA are required (I'll walk you through it).

What you'd do

  • Scheduling: manage the calendar — booking, rescheduling, cancellations, reminders, waitlist
  • Consults: respond warmly and quickly to incoming inquiries and turn them into booked consults
  • Billing in Sessions Health (I'll train you): benefits checks, eligibility, superbills, claim follow-up, payment issues
  • Communication: handle client texts and the practice inbox professionally, and escalate anything clinical or urgent to me (you won't be giving clinical advice)
  • Admin: keep documents, records, and systems tidy

You're a great fit if you

  • Have supported a healthcare, mental health, or other private practice
  • Treat confidentiality as non-negotiable
  • Write clearly and warmly — you'd be the voice of the practice for a lot of people
  • Are reliable and can work independently
  • Pick up new software fast

Bonus

  • Experience with Sessions Health or a similar behavioral-health EHR (SimplePractice, TherapyNotes, etc.)
  • Insurance verification / medical billing background, especially behavioral health
  • Familiarity with US insurers (Availity, United, Out of Network Billing)

Room to grow: I'd like this to start as a VA / practice manager role and, for the right person who proves reliable and sharp, expand into a broader executive assistant position with more responsibility — and pay to match.
