Automating your event emails
How do you handle sending these kinds of emails, or how did you set it up your way? Is there anyway to make this easier? or faster?
I've learned that when you host online events, manually sending reminders is slow and stressful, but you can easily automate the whole process using just three simple tools: a form like Google Forms, a bridge like Zapier, and an email sender like Mailchimp. You just connect them to trigger a specific timeline. Right after someone signs up, the system instantly sends a welcome email with the event link and an "Add to Calendar" button. Then, it waits to send a quick tip one day before the event, drops the direct room link one hour before, and finally sends the video replay the next day to anyone who missed the live call.
Setting this up did come with a few challenges. At first, my messages kept going to the spam folder, so I fixed this by making the first email plain text and asking people to reply "Got it!" so the email providers knew I was real. I also dealt with timezone confusion, which was completely solved by using that "Add to Google Calendar" button since it automatically changes the event to their local time. Finally, I learned the hard way that changing a form after the automation is running can break the whole setup, so I now make sure to never edit a live form without testing the connection again.
Also i realized that you can use this exact same flow to save time in other parts of your business, too. For example, when taking on new virtual bookkeeping clients, the system can automatically send a welcome email and a guide on how to safely share their receipts. You can also use it to send reminders and prep lists before sales calls to stop people from forgetting the meeting, or to instantly deliver a free PDF guide and automatically check in two days later. It takes a little effort to build, but it runs totally on its own once it is done.
