Trying to build a Second Brain in Microsoft Copilot. Am I making this harder than it needs to be?

I've been using ChatGPT and Claude to build what I call my Second Brain and Chief of Staff. Basically, a system where AI has access to my files, knows how I work, follows instructions, and helps me get things done without having to explain everything from scratch every time.

I also keep files with instructions, examples, lessons learned, and things that worked well so the system can improve over time.

It works pretty well in my personal setup.

Now I'm trying to do something similar in Microsoft 365 Copilot, where most of us work in a corporate environment and don't have admin rights.

Here's what I've tried so far:

I created a SharePoint site with folders for different departments, instructions, reference files, and examples. My thinking was that SharePoint could replace the folders on my C: drive and make everything available to the people who need it.

That seemed reasonable.

Except SharePoint and I are apparently having a disagreement. Don't ask me how, but the files and folders I created earlier this week are nowhere to be found today.

I also have Microsoft 365 Copilot with Agent Builder and access to Copilot Studio. But when I tried Copilot Studio, it started asking me to set up Dataverse, and I realized I might be heading down a much more complicated road than I intended.

What I really want is pretty simple:

  • A place where Copilot can find and use the information it needs.
  • A way for it to remember how we work so we don't have to repeat the same instructions every time.
  • A way to save useful things we learn, corrections, and good examples so we can use them again.
  • The ability to share this with coworkers while respecting company permissions.
  • Something regular employees can maintain without needing IT every time they want to update a file or improve a process.

And here's the big one: it can't be ridiculously complicated. That defeats the whole purpose.

I'm trying to make work easier with AI. If I need to become a SharePoint expert, learn Dataverse, and call IT every time I want to make a change, something has gone sideways.

I'm comfortable working with AI and building useful workflows, but I'm not a developer or Microsoft 365 administrator.

So my question is:

Am I going about this the wrong way?

Is SharePoint the best place for this? Do I actually need Copilot Studio and Dataverse? Or is there a simpler way to give Copilot shared knowledge, consistent instructions, and a way to build on what we've learned?

If you've done something similar in a corporate Microsoft environment, I'd love to hear how you approached it, especially if you don't have admin rights.

I'm happy to rethink the whole setup. I just don't want to spend weeks building something complicated when the whole point was to make things simpler.

Save me guys...
