How to handle late fee

My gf and I had a new roommate move in and we were assessed a late fee. Im curious where someone without a stake in this would assign responsibility.

Our rent is due on the first and a late fee hits the fifth. Our LL is slow at getting anything done and while they initially said applications would be done by the first of the month, there was a delay.

We talked to roommate and let them know itd be difficult to pay the full rent this month on the first. She agreed to pay, but only when she was approved. I said this puts us risk of being late. Our half of rent was paid on time.

Roommate began moving a small portion of her belongings in on the first. On the fourth her application was approved. In the evening we reminded her to pay rent. At this point she asked to prorate it. We agreed. She transferred the money to me and I payed the remainder on my card.

Now, our LL claims due to delays from the portal the payment didnt hit until the fifth and was late so we would be assessed a $150 late fee. I dont really think they can do that, but its not worth fighting them over this.

How do you think this should be handled, whats fair? Who pays the late fee.
