Questionnaire response (asset request) to IT

Use case:

Recruiter to request asset for new hire through questionnaire, and the responses to be routed to IT. We don't have a security group for IT.

- How to share response to a helpdesk email id

- Any other alternatives that can be used to get the asset request at hire in HCM to helpdesk email id

Searching Pre-Hire

Hi,

I saw this available on GMS at Hire Employee. The window showed up to 'Search for Person' who might already be in the system.

There are many options available and in our tenant only 'search by name' is set up. What are the tasks required to set up to be able to search by other attributes such as

  • Date of birth
  • Workday ID
  • Contact details
  • National ID/ whatever ID is relevant to the country
  • Previous role details

Please advise.

Workday Address Design – Local Payroll System Integration

We’re doing a Workday payroll integration, and the local payroll system has more detailed address fields because they are required for statutory/payroll purposes.

Has anyone used a design where the local payroll system remains the source of truth for the statutory address, and Workday only receives a concatenated/summarized version in the standard address lines?

For example, the payroll system keeps structured fields like house no. / street / district / province / postal code, then the integration combines those fields and pulls them into Workday Address Line 1 and Address Line 2.

is this doable?

Probation Review with Questionnaire - Workay

Hi,

We are using probation review with questionnaire. And currently the BP initiates only when triggered by HRIS or Sup Org or HR Partner by going to 'Manage Probation Review' for worker and we click on 'Start Review' to get the bp started. Is there a way to auto start on it's own?

Employee hired into wrong Job Requisition (already started working). How to fix?

Recruiter made a mistake during hiring and accidentally hired a new employee into the wrong Job Requisition (JR) in Workday. The employee has already started working.

EIB - mass update Workday account

Hi,

Anyone has done a mass update/ edit of workday accounts? Please advise.

I generated a file after creating eib update workday accounts and I put filled in emp ID, username, but it would return errors.

Stuck on validation error using Compensation Grade in "Review Probation Period" Business Process condition rule

Hey everyone,

I'm hitting a wall configuring a condition rule to route our probation review process based on specific Compensation Grades (E1, E2, E3).

Every time I build the condition rule, Workday throws this validation error:

What I've found so far:

  • The field I want to use is Compensation Grade (Probation Period), but its Source Business Object is Probation Period Target with an authorized usage of Probation Periods Eligibility.
  • Because I am evaluating this rule inside the Review/Manage Probation Period business process, Workday is blocking it due to a Business Object mismatch.
  • I've tried changing the rule category to Talent and HCM, but the error won't clear.
  • I've also tried to create a custom Calculated Field to bridge the data, but I cannot find a clean field pathway from Action Instance or Action Event to the standard worker Compensation Grade in my prompt lists.

Has anyone successfully routed a Probation Review step by Compensation Grade? What exact delivered field or calculated field function (LVAD/ESI) path did you use to bypass the Probation Period Target object restriction?

Currently compensation grade its in compensation and in job profiles.

Appreciate any ideas or screenshots of your setups!

Rescinding - Org Assignment - Mass (EIB)

Has anyone handled a mass correction/ rescind/ change of effective date for completed Change Organization Assignment events?

We were in the process of moving to workday and did not terminate large population before we went live. As result, org assignments to done and impacted this group of workers. Now that we have to terminate this populate, retain the correct termination date, the org assignment date is in the way. One solution was to rescind the event by each worker and that's taking alot of time. I would like to ask for another workaround for example to use Change Org Assignment EIB on those events by changing the effective date (i.e. 6 Jan 2026 to the worker's hiring date).

Is that possible? If so, how to do that?

Any other options available, pls advise.

Hi Community,

We have configured the following by country

  • Schedule Review = XX days in Maintain Probation Periods for Country
  • Probation Period: Review enabled in Maintain Localization Settings
  • Probation Review Date is populated on the worker profile

However the Review Probation Period task is not automatically appearing in the manager's inbox on the scheduled review date.

Has anyone experienced this? What else do we need to check or configure to get the auto-trigger working?

How do I check for failed instances?

Any advice appreciated!
