Groomers: how do you handle new-client intake and client notes?

Hi groomers,

I’m doing some early research and would love to understand how you actually manage new clients and pet/client info day to day.

When a new client reaches out, how do you collect the details you need before confirming the appointment — breed, size, coat condition, matting, behavior, health issues, last groom, style request, photos, etc.?

Is this mostly done by phone, text/WhatsApp/Instagram, online form, booking software, or when the client arrives?

Also, how do you keep track of client/pet history over time — previous grooms, behavior notes, pricing, owner preferences, photos, no-shows, special handling, etc.? Do you use software, paper notes, your phone, memory, or a mix of everything?

What part of this process is the most annoying or time-consuming for you?

Not selling anything — just trying to understand the real workflow and where things still feel messy or inefficient.
