Position Summary

We are looking for a reliable, organized, and detail-oriented Virtual Assistant to support the daily operations of a distribution company. This role involves managing customer communications, processing orders, maintaining inventory, coordinating purchasing and shipping, and keeping business records accurate in QuickBooks. It also requires speaking with suppliers and keeping everyone synchronized.

Key Responsibilities

• Manage and organize the company email inbox.
• Respond to customer inquiries and prepare quotations.
• Enter customer purchase orders into QuickBooks accurately.
• Track all open orders and provide customers with status updates.
• Monitor inventory levels and identify items that need replenishment.
• Prepare and submit purchase orders to suppliers.
• Coordinate with warehouse staff to ensure orders ship on time.
• Assist with remote shipping coordination and communicate tracking information to customers.
• Maintain accurate customer, inventory, and order records.
• Prepare a brief end-of-day summary highlighting completed work, open issues, and priorities.

Qualifications

• Excellent written and verbal English communication.
• Experience with QuickBooks (preferred).
• Strong organizational and multitasking skills.
• Proficient with Microsoft Office 365.
• Detail-oriented, dependable, and able to work independently.
• Previous experience in customer service, purchasing, or inventory management is a plus.

• Inventory is monitored proactively to prevent stock shortages.
• Supplier orders are placed on schedule.
• Customer shipments are tracked and communicated effectively.
