Position Summary

We are looking for a reliable, organized, and detail-oriented Virtual Assistant to support the daily operations of a distribution company. This role involves managing customer communications, processing orders, maintaining inventory, coordinating purchasing and shipping, and keeping business records accurate in QuickBooks. It also requires speaking with suppliers and keeping everyone synchronized.

Key Responsibilities

  • Manage and organize the company email inbox.
  • Respond to customer inquiries and prepare quotations.
  • Enter customer purchase orders into QuickBooks accurately.
  • Track all open orders and provide customers with status updates.
  • Monitor inventory levels and identify items that need replenishment.
  • Prepare and submit purchase orders to suppliers.
  • Coordinate with warehouse staff to ensure orders ship on time.
  • Assist with remote shipping coordination and communicate tracking information to customers.
  • Maintain accurate customer, inventory, and order records.

How do I start as a Virtual Assistant with no direct VA experience?

How did you guys get your first VA job?

Hi everyone!

I've been wanting to get into virtual assistance for a while now, but honestly, I don't know where to start.

I don't have direct VA experience yet, but I've worked in several government offices through summer employment programs doing data entry, organizing records, handling documents, and using Microsoft Office and Google Workspace. I'm pretty comfortable with computers and I don't mind learning new tools if that's what it takes.

I'm hoping to find remote work to help support my studies and eventually move out of a toxic home environment, so I'm really serious about making this work.

For those who are already VAs:

  • How did you land your first client?
  • What skills should I focus on first?
  • Are there any courses or certifications that are actually worth taking?
  • Where do you usually find legit clients?
  • Is it still possible to get hired even without direct VA experience?

Aspiring Medical/ Healthcare VA

Its been a months since I finished the training around March pa natapos and I needed to finish my study and thesis kaya nag focus ako sa acads after it, but now I'm overwhelmed where to start, should I apply naba sa mga agency, or find direct client? or apply in BPO first para magkaron muna ng real work exp? I was also skeptical about applying since di ako ganon ka conversational and fluent in English, but I have been trying to improve my speaking skills these days, I also think being in BPO will greatly help me a lot when it comes sa communication but still dont know if its great choice.

FAILING ON INTERVIEWS

Hi guys, I need some advice. I have more than 10yrs experience in customer service, almost half of it is from call center. I never failed in a call center interview, not even once. But Im tired of doing voice and answering 100 calls per day so I tried applying for VA. I thought it would give me an edge with all my work experience. But I keep on failing in VA interviews 😭

I thought VA is more like skill based. A lot of my VA friends said they have easy jobs like just updating marketplace, encoding leads.

Why is the hiring process for VAs not skill based? Like give me a task, social media, google workspace, MS Office.

I don't understand why I never fail a call center interview yet keep on failing on VA interviews. They basically have the same question. Tell me something about yourself, scenario based and answer in STAR method, would there be hindrances.

i'm an incoming 4th year psych student and i'm looking to start being a VA to gain experience. mas magaan na din kasi units namin, kaya naisip kong itry mag-VA para hindi ako walang-wala after grad. gusto ko part-time work lang muna.

i don't have experience pa sa technical side ng mga bagay-bagay, but madali naman akong matuto. marunong ako sa Google Workspace, Microsoft Office, Canva, and gumagamit din naman ako ng AI tools.

i'd say i'm good enough at research. may experience ako sa data gathering, both qualitative and quantitative, as well as data analysis for both. well-versed din ako sa statistical tools like Jamovi and SPSS.

i enjoy writing, i have leadership experience, i like being organized, and sanay ako sa fast-paced na work. i'm leaning towards Industrial/Organizational Psych and HR functions.

problem: hindi ko alam kung ano ang niche ko.

interested ako sa admin tasks since feeling ko bagay siya sa pagiging organized ko, pero gusto ko rin i-explore ang content creation, especially writing. nac-curious din ako sa pagiging chatter kasi feeling ko okay naman communication skills ko.

gusto ko rin sana mag-try ng HR-related VA roles since iyon talaga yung field na gusto kong pasukin eventually. kaso wala pa akong certifications and wala rin akong relevant work experience, so hindi ko alam kung realistic ba siyang pasukin as a beginner or if mas okay na mag-build muna ako ng experience sa ibang niche.

as someone na wala pang VA experience, saan kaya magandang magsimula? worth it bang mag-focus muna sa isang niche, or okay lang mag-try ng iba't ibang roles habang nagsisimula? If kayo ang nasa position ko, ano ang pipiliin niyo and bakit?

gusto ko na kasi talagang magka-experience and, of course, pera rin hehe. any advice from those who have been in the industry would really mean a lot. 🥹
