What is the best way you guys use to get recurring clients on a steady basis

Just for the context, we run a small web development agency. We do SEO, cold emailing, etc but haven't tried Ads yet.

We have months when we are overwhelmed by the no of positive conversations going on but then suddenly there are weeks/months when we are not able to close any new clients. So its been on and off and its hard to plan our hiring. Sometime we are short of people/team members and sometime we are struggling for new clients.

Just wanted to understand as how you guys are handling it.

Has anyone tried using any AI tools as the AI CoS for their day to day tasks for automating things? Like leads prospecting, sending reminders, proposal generation, etc

How did it went and are there anything to keep in mind before it starts doing more harm than help.

We're a small team of developers working across several projects across clients globally.

We create a dedicated channel for each project/client and then add their & our team members working on that project, to that channel.

It looks nice setup when there are less no of conversations, but once the conversation grows then it becomes unmanageable to figure out what is done and what is remaining to be done. What is delivered vs what is pending.

Internally we use Asana to track the issues progress but a lot of times those issues are not technical issues, but general support issues, which doesn't need to be in our Asana.

And our team keep losing the track of the things and as a business owner we don't have the visibility as what is delivered and what is pending.

Just wanted to understand as how other are handling this?
