I’m a freight forwarder and complete beginner to AI agents. I’m looking for advice on the best tools/setup to automate a daily workflow.

What I need it to do:

1. Extract Data: Read shipping line booking confirmation PDFs to pull container numbers, vessel names, and dates.
2. Combine Context: Take extra details I provide (customer name, specific job notes).
3. Web Automation: Log into our online software (Gensoft), fill out the booking form with that data, save it, and send me the confirmation number.

My Questions:
What software/framework should I use? (Open to anything beginner-friendly).
How do I avoid burning tokens? (I want to avoid high-cost visual screenshot loops).
How do I "teach" it? How do I save step-by-step instructions so it consistently remembers the workflow every time?
