Best way to keep multi-city event setups consistent?

We’re planning a roadshow across six cities, different venues and local teams are already asking for different setups. My concern is ending up with the wrong device counts, settings changing between cities, or equipment getting lost between returns and redeployment.
For anyone who has managed a multi-city event, did you build one standard setup for every location or adjust it city by city?

How to avoid last-minute device setup before a conference?

We had a conference setup recently where the devices showed up the day before and the team ended up spending most of the night charging everything, installing apps, signing into accounts, labeling devices, and testing printers.
None of that was supposed to be our main job, but it took attention away from speaker prep, registration planning, and the venue setup.
For teams running larger events, do you handle all of this in-house or work with someone who sends everything ready to use?

I've been responsible for documenting our team's internal processes for almost two years and it feels like half my job is updating SOPs instead of doing the work itself. What's the best knowledge base creation tool for a small team that doesn't have a dedicated documentation person?
