Recruiters using a shared mailbox: should the full email thread live inside the candidate record?

Full disclosure: I’m building RecrutFlo, a lightweight tool that turns CVs received through a recruitment mailbox into structured, searchable candidate records.

The current version keeps the originating email details and CV linked to the candidate, but it does not sync the subsequent email conversation.

A recruiter recently pointed out that small agencies often live inside email threads rather than a candidate library, which made me reconsider this part of the workflow.

For recruiters using a shared mailbox: would you expect the complete conversation to be displayed inside the candidate record, or would a direct link back to the original Gmail/Outlook thread be enough?

I’m looking for workflow feedback rather than trying to sell anything.

I’m building a simpler way to deal with CVs that arrive by email. Would recruiters actually use this?

A lot of smaller recruitment teams still receive most of their CVs through a shared inbox.

The process usually ends up being some version of: open the email, download the attachment, rename the file, copy details into a spreadsheet, and hope someone can find the candidate again later.

I’ve been building RecrutFlo to remove that admin work.

It connects to a Microsoft 365 or IMAP inbox, processes incoming CVs, extracts practical information such as skills, experience, languages and location, and turns everything into searchable candidate records. CVs can also be uploaded directly.

One decision I made early was not to turn it into another complicated ATS. There’s no candidate scoring, automated ranking or hiring decision. It’s mainly for organizing what already arrives in the inbox and making it easier to find later.

I’m the person building it, so this is obviously self-promotion. But I’d genuinely value blunt feedback, particularly from anyone who handles recruitment through email:

What would stop you from using something like this? And which part of your current CV workflow is still annoyingly manual?
