Matching Sub order with tracking number

TBB's system is absolutely bonkers and confusing as hell. I receive an email saying they are shipping a bunch of orders. No tracking number attached.

A couple of days later, I get an email from, usually, Royal Mail with a tracking number saying they got an order from TBB.

If they ship multiple orders within a few days, it's a pain to match the TBB order number with the tracking number because each company sends a separate email, and TBB provides only their order number while Royal Mail provides only the tracking number. This is painful because I have to file for customs, so I need all the order details.

On top of that, I use skips often in my SFF, SF, and F subs, and it's happened multiple times that they ignored the request and still charged me. This is again annoying to keep track of, especially since order details/emails don't use titles, only "SF&F Subscription × 1" for example, so I have to manually keep track of everything and double check, because again, it's not uncommon to get charged for skips (skips where the form was submitted on day one so no delay on my side, TBB every time admits that they just messed up). They refund it, so there's no issue with that, but I have to keep track, and I have to notify them.

Sorry about the rant, it just gets chaotic and frustrating. Their whole website, order info, and using Google Forms to handle skips is incredibly poorly designed and seems stitched together by someone who doesn't have much experience with this and isn't technically savvy.

Not just to rant here, how do you all manage all this? I have a sheet where I track it, so that helps, but as I mentioned earlier, matching order number, tracking, and billing isn't so straightforward.
