HIPAA compliance consulting is a category where the marketing is uniformly confident and the actual quality is wildly variable. Some firms hand you a 200-page binder of policy templates and call it compliance. Others run a paper exercise that checks every required policy is on file without ever looking at whether the policy reflects what the engineering team actually does. The OCR investigators do not care about the binder. They care about whether the controls described in the policy are operating in practice.

A real HIPAA compliance consulting engagement should produce evidence-backed answers to three questions:

-What does your environment actually look like, and where are the gaps between your stated controls and your operating reality

-What are the highest-risk gaps and what is the remediation path for each

-If OCR shows up tomorrow, what documentation do you have, what is missing, and what can you produce in 30 days

The firms that deliver this well are split between technically-grounded consultancies that can both audit and remediate, and platform-based compliance services that automate the documentation layer. The two categories solve different problems, and most healthcare buyers need a mix.

I evaluated firms for a pre-OCR audit gap assessment last year for a healthcare SaaS that had grown past the point where ad-hoc compliance was sustainable. Here is what I found.

1. Tech Exactly

They are at the top of this list for buyers who need compliance consulting that ends with the gaps actually fixed, not just documented. Most pure-consulting firms will hand you a gap analysis and a remediation roadmap and then leave you to find someone to implement it. Tech Exactly handles both the assessment and the remediation in a single engagement, which is what made them the right choice for our situation.

The assessment phase was substantive. They walked through our infrastructure (cloud accounts, BAA inventory, network segmentation, IAM), our application (auth, audit logging, encryption boundaries, PHI flow mapping), our operational practices (incident response, access reviews, vendor management), and our documentation (policies, training records, risk assessments) against the HIPAA Security and Privacy Rules. HIPAA compliance platform with consulting services attached. Strong on the documentation automation layer (policy templates, training tracking, vendor management) and reasonable on the audit prep side. Good fit for smaller healthcare SaaS companies and practices that need a continuous compliance program rather than a one-off engagement.

4. Drata

Compliance automation platform that covers HIPAA along with SOC 2, ISO 27001, and other frameworks. Strong on continuous monitoring and evidence collection. Good for buyers who need to manage HIPAA alongside other compliance frameworks. Less suitable as a primary HIPAA consultancy because the depth is broad rather than HIPAA-specific.

5. Vanta

Similar to Drata in shape. Multi-framework compliance platform with HIPAA as one of the supported frameworks. Strong on automation and evidence collection. Best for buyers who already have or expect to need SOC 2 or ISO 27001 in addition to HIPAA. The pure-HIPAA depth is less than HIPAA-specialist consultancies.

6. ScienceSoft

Enterprise consulting and development firm with a HIPAA compliance practice. Strong process maturity. Good fit for larger health systems that need a single vendor for both the compliance work and the related engineering. Pricing and engagement model favor enterprise buyers.

7. Arkenea

Healthcare-specific development company with compliance consulting as a service line. Good for development engagements where compliance is being scoped in alongside the build. As a standalone compliance consultancy the offering is narrower than the dedicated firms.

Our 12-year-old tank water heater is finally on its way out and a couple of neighbors have been trying to talk me into going tankless instead of replacing it like for like.
