Anyone else’s proof of work living in a group chat and a camera roll?

At some point I realized majority of my operations system was a folder of blurry photos and a scroll of texts I’d never find again when I actually needed them.

Staff would send a pic of the cleaned locker room, the wiped equipment, the restocked front desk. I’d say great, thanks. And then three weeks later when something slipped and I needed to know if it was a pattern or a one-off, it was buried under 200 other messages.

Worked okay at one location. Became a real problem when I was splitting time across two. Curious how other people solved this or if everyone’s just quietly living with it.

How do you actually know your staff completed their daily tasks?

Not trying to micromanage but I’ve had enough “yeah we did that” conversations where clearly it didn’t happen. Paper checklists can be helpful but don’t always get filled, the whiteboard gets ignored, and I can’t be there for every shift. What are people actually using to hold staff accountable without turning into the bad guy?
