Discussion: How do freelance accountants here manage 34+ BIR forms without losing their minds?

Hey everyone. I’m a developer doing some research into workflow bottlenecks, and I've been looking into how freelance bookkeepers and CPAs handle their clients here in the PH.

Looking from the outside, the workflow seems incredibly stressful. From what I gather, many are still using manual Google Sheets to track dozens of BIR forms and deadlines, and then having to manually chase clients for their 2307s or receipts on Viber and Messenger.

I've been working on a dev project to see if this can be automated (e.g., auto-generating tax calendars, auto-sending document upload links to clients so you don't have to follow up manually).

Before I go any deeper down this rabbit hole, I want to ask the actual experts:

  1. Is this tracking/chasing actually a major pain point, or is the Google Sheet + Viber method "good enough" for most?
  2. What is the absolute hardest part about collecting client documents?

I tried stealth marketing and got absolutely roasted. How do I get my first 50 users?

Hey everyone, I need some brutal honesty and advice.

I recently built a B2B micro-SaaS called Margolio. It's a web-based compliance dashboard for Filipino CPAs and freelance bookkeepers. It basically helps them track BIR, SSS, PhilHealth, and Pag-IBIG deadlines across their entire client portfolio in one place, so they don't have to manage everything in chaotic Google Sheets.

You just add a client, and it auto-generates the full compliance calendar for the year based on the business type. It sends email reminders and generates a shareable document upload link so bookkeepers can collect files without forcing their clients to create an account. It's a paid monthly/annual subscription (no free tier) with a 14-day free trial.

I was so eager to get my first few users that I read some generic "growth hacking" advice, went into local accounting subreddits, and tried to do the whole "stealth marketing" thing. I tried to sound like a frustrated freelancer who just casually "found" this solution.

They saw right through it immediately. I got called out, downvoted, and completely roasted. I honestly deserved it.

I'm not a freelancer or a CPA. I'm just a guy who saw a massive pain point with deadline tracking and built a system that I genuinely think can help them save time and avoid penalties. But my marketing approach was totally wrong, and now I'm stuck at zero users.

For the founders here who have successfully launched a B2B SaaS in the Philippines:

  • How do you actually get your first 50 paying users without coming off as a spammer?
  • Should I be cold messaging people on LinkedIn/Facebook groups, or should I try reaching out to accounting firms directly?
  • How do I find "design partners" who are willing to just use the 14-day trial and give me brutally honest feedback on the workflow?

I'm done with the fake marketing scripts. Any advice for a struggling solo founder on how to do this the right way would be hugely appreciated.

Nakakapagod na mag-chase ng Form 2307 tuwing deadline (Excel is failing me with 15+ clients)

Grabe yung stress ko last quarter. Muntik na ako magka-penalty para sa isang client kasi literal na mismong araw ng 1701Q deadline nila sinend yung scanned Form 2307 nila. Ang hirap i-monitor sino na nag-submit at sino pa ang kulang kapag 15+ clients na yung tina-track mo sa isang sobrang gulong Excel spreadsheet. Yung kaba ko sa 25% surcharge plus interest ng BIR, nakaka-insomnia talaga.

I tried looking for apps para dito. SGV tax calendar is okay for generic reminders, pero wala siyang tracking per client. Yung mga full tax software naman, masyadong mabigat at mahal for my setup since I already use Xero for their ledgers. And my Excel sheet is basically a ticking time bomb kasi hindi naman niya inonotify yung clients ko na mag-upload ng documents nila.

Kaya nung holiday break, I got frustrated and just built a simple web app for my own workflow. Wala siyang bloated features, just a clean compliance calendar tracking the 34+ BIR forms. But the best part I added is a client document upload link. Sinesend ko lang yung link, and the system automatically reminds them to upload their 2307s straight to my dashboard so I don't have to chase them on Viber/email anymore.

Curious lang, how are you guys handling this right now? May hidden technique ba kayo sa Excel na na-miss ko, or manual follow-up pa rin ba talaga kayo sa clients tuwing tax season?

Muntik na akong mawalan ng client dahil sa isang hidden row sa Google Sheets.

Baka maka-relate ang mga kapwa ko bookkeepers dito.

Hindi naman malaking penalty yung nangyari. Pero yung kailangan mong i-explain sa client na ikaw ang nagkamali, na ikaw mismo ang nag-fail sa trabaho mo dahil sa na-miss na deadline... yun ang masakit.

Noon, nung 5 clients pa lang, kaya pa ng Google Sheets. Gumawa pa nga ako ng sariling color-coding system. Pero habang dumarami ang clients, dumadami ang rows, hanggang sa natabunan na yung isang deadline. Sabi ng isang accountant friend ko, "spreadsheet forever" daw talaga ang buhay natin. Ayoko nang ganun.

Isang buwan akong naghanap ng matinong tracking tool. Ang problema, either pang-enterprise na napakamahal, o basic tax calculator lang. Walang mid-ground para sa mga solo bookkeepers na may 15-30 clients.

Out of frustration, trinanslate ko yung buong compliance calendar (BIR, SSS, PhilHealth, Pag-IBIG) at ginawan ko ng sariling automated web app. Ginawa ko siyang master dashboard na naka-sort by urgency at nag-aauto remind sa clients for document collection.

Hindi ko alam kung ako lang ba ang may kailangan ng ganitong setup. Kung may mga nahihirapan din sa pag-maintain ng spreadsheets dito, open ba kayong masilip yung ginawa ko? I'd love to get insights and feedback from fellow professionals. Let me know in the comments!
