Paid from squarespace

Help me!! I am the least tech savvy person and starting a website was the last mental hurdle I had to get over to actually start my business.

I paid for the core plan through squarespace which includes google workspace/ an email through them.

Well I think I somehow effed up and made an email separately through google workspace and now it’s trying to get me to pay for it separately. I can’t move past either website to resolve it, and can’t talk to anyone who understands me on either chat.

Am I doomed?

Google Photos Sharing Not Working with Students

I manage interns who are all high school students at the school I work for. They intern for the Comms department, which means they often need to access photo content to help me with graphic design, social media, slideshows, etc.

I cannot share photos with any of their accounts through Google Photos, which has become a huge pain. Currently, I download large albums (sometimes many at a time) and upload them to Drive, then share them, which is incredibly time-consuming. I understand there is some kind of under-18 limitation, but has anyone found a workaround or other quicker solution?

This year I am going from 3 interns to 5 interns, so I only anticipate this problem becoming even more time-consuming.

I've had our tech guys look into the problem, but they read that it doesn't have a solution and won't look into it further.

Unable to cancel workplace subscription

I have been been trying to cancel this subscription for the past month without success. Nothing appears under the subscription tabs to be able to edit. I remember months ago it was stating I didn’t have admin access but it’s only me - no one else was involved with this address.

I’m all out of options at this point and of course it allows me to upgrade to the more premium subscription but won’t let me get out of this one. Very frustrating.

Is my only option to close my credit card? I really don’t want to have to do that.

How should a 20-person growth company think about IT?

I’m the CFO of a small industrial manufacturer with approximately 20 employees. We use Google Workspace and Drive for most of our file storage and have no internal IT staff. We hold very little sensitive customer data, but I’m uncomfortable with how broadly files are shared and how little structure we have.

I tried reorganizing Drive, but it was largely unsuccessful. I used folders within one Shared Drive when I probably needed separate Shared Drives based on access. Employees also see the cleanup as work today to solve a problem that may not become obvious for another year or two.

The Drive structure is the immediate issue, but my broader question is- How should a company at this stage think about its IT environment?

What should we put in place now as far as file permissions, onboarding and offboarding, device management, backups (if any), policies, and what can reasonably wait? Do companies our size usually hire an MSP to design and administer this, or assign it internally until they’re larger?

I can own the governance and budget, but I’m not an IT guy. For those who have helped companies through this stage, what did you prioritize first, and what do you wish you had addressed earlier?

Migrating from Workspace...maintain Drive login?

I am moving away from Google Workspace. Inevitably, people will share Drive links with me and I will want to share them with others for collaboration.

  1. Can I maintain my drive as it is (on a zero-cost tier) while moving the domain and mail etc away from Google?

  2. Does someone have a documented process for that?

Is this really how an invite for Google Workspace works?

Hi! The person I talked to asked me for my gmail, then I received this notification. Is this really how it works when you get invited to a workspace? or this could be a phishing scam? I was worried when I read the text "your google account password has been reset" apologies this is the first time I encountered this. I didn't click any link for now.

Getting Domain That Uses Google Workspace Removed from SURBL Blacklist

Our domain has somehow been added to the SURBL Blacklist and I'm trying to get it removed. When you go to their site and fill in their form, it asks for the sending sites IP address and won't let you add anything but that. We use Google Workspace for our email and Google doesn't use a specific IP address for outgoing emails but a dynamic range. Has anyone had any luck submitting a request like this to SURBL? What IP address did you use? How can I find the right address to use?

Thanks for the help

Did my Google account get compromised??

So, since last week, I’ve been getting prompts on my phone asking, “Is this you trying to log in?” with the options “Yes, it’s me” or “No.” I was out of town at the time, so I figured Google was flagging me because I was using my phone from a different location. I received that notification three or four times. I know I should have changed my password immediately, but unfortunately, I put it off.

Today, I received a call from 650-203-0000. An automated message said that a request had been made to change the phone number on my account and instructed me to press 1 if it was me or 2 if it wasn’t. I pressed 2, and the recording said someone would call me within a few hours.

I immediately changed my password.

Lo and behold, about two hours later, I received another call, this time from +1 (650) 762-8204. The person sounded very professional. He started by telling me that someone had tried to access my account and went through the different devices that supposedly had access. I started freaking out because he sounded legitimate. He even mentioned devices belonging to my wife, as well as Amazon and TV apps connected to the account.

I was starting to believe him until he said he needed to reset my IP address and session token because that was supposedly how the attackers had gained access. He told me that, in order to do this, I needed to accept a login-attempt request that I was about to receive.

That immediately made me suspicious.

He then said he would send me an email containing a case ID and his name, “Noah Fields.” I told him, “I’m sorry, but I can’t trust this. It seems too complicated.” He responded by saying he would flag my account, place a “soft hold” on it, and that I would be unable to access apps linked to my email. He also said Google would contact me again within three days.

At that point, I thought maybe it actually could be legitimate.

He then said he could send me an email so I could complete the process manually, which he did. I did not open or click the link. I told him I needed some time to process everything and hung up.

He called me again and said, “I’m trying to help you here. I’m a legitimate Google employee,” and continued trying to convince me.

What concerns me even more is that both emails appeared to come from noreply@google.com, but the “To” field did not show my normal email address. Instead, it showed something similar to:

me@googl-smtp-out-192-[more numbers]-prod.co

At that point, I was completely confused. I told him I wasn’t tech-savvy enough to do what he was asking, and he offered to walk me through the process. I again told him I needed time.

He eventually said, “Alright, your account will remain on a soft hold, and you’ll be contacted again within three days.” Then the call ended.

My question is: Is this a scam?

What makes this especially concerning is that I genuinely received around five different unauthorized login-attempt notifications over the previous several days, so it appears someone may actually have been attempting to access my account.

Who should I contact at Google to verify this? How can I determine whether my Google account has actually been compromised, and how can I verify whether these calls and emails were genuinely from Google? The person was not indian accent or European he sounded African American

Should I use Groups or Accounts for officer positions in an organization?

I have finally gotten through all the hoops to get our non-profit approved for free Google Workspace.

I am trying to figure out the best way to set up officer emails with our .org domain.

My first thought was just to create users, like president@, treasurer@, secretary@, etc.

As I understand things, this has a few drawbacks:

  • The owner of the account can delete emails, and after like 25 days they are gone for good.
  • When a new officer is elected, it is quite a chore to reset the password, disable 2FA, and re-define the user with the new person's information.
  • Only 1 person monitors and responds to the email box.
  • Accounts consume licenses.

So my second thought was to use Google Groups. This way I could simply add and remove users from the group. It also has the benefit of having an archive of all messages through the group that users cannot delete. It also has the benefit that multiple users could monitor a group, so that no incoming message falls through the cracks. Groups don't consume licenses. I understand you can have up to 2000 users and we will have less than 20 so this is not an issue for us.

The biggest problem I see with groups is that users will still be using their private email addresses. So when an email comes in to them, they can choose to reply directly to the person, which would bypass the archive. Or, they can choose to reply to the group. I think I can set up the group so that the emails appear to come from groupname@ rather than the private email of the officer?

So what is the best approach?

I am leaning towards each officer being a dedicated user. It sucks to have to play around so much when new officers come in, and I worry about officers deleting emails that should be retained, but this way emails come in from name@org and go out as name@org every time.

I suppose officers can set up email forwarders to their private emails even so, and then respond through them and still bypass the official email account if they really wanted to.

How many Mails ID’s for Cold mailing so that my domain reputation….

Guys I have just started out using workspace for sending cold mails but they aren’t like copy paste mails they are personalised and have different content in each and every one.

Now the question is how many Mails IDs are ok to use and make for this work on a single domain.

The quantity is 5 mails per day for 2 weeks then 10 mails per day.

Right now I have 6 email ids on single domain. I wanna know is this number ok or should I buy more domains so that the reputation of my domain remains intact?

Also I need to have around 20 mail Ids to reach my intended target for cold Mails, so buying more domains is the best option or a single domain works.

Please if someone knows help me out 🙏

Enabling Chrome Memory Saver Org Wide?

Google and Zoho web apps have balloned the past year and 16GB can barely hold a few tabs anymore. Therefore, I'm thinking of enabling Memory Saver and maybe even setting it up in the aggressive mode. I personally don't like tit, but maybe user won't even notice the constant reload or it could really help these 16GB machines.

If anyone has enabled this feature on their company and could share thier experience it would be greatly appreciated. Did users noticed/complained? Did it even help?

Thanks

Google Workspace and Family Link can eat my poo

I have one main google email. I have it linked up to my child's account as the manager. I signed up for Google Workspace for my small solo business.

Huge mistake. I spent weeks talking to Google help.

Guess who can't create a business address. Why? Custom email addresses are unavailable for family group members. The solution? I have to cancel the Subscription. I bought the yearly package.

I can't move forward. On any front.

I can't switch the manager of the Family Link to another email, I can't cancel Family Link until my daughter is 13, I can't cancel the yearly subscription, and I can't switch the Admin to another email. So I have to eat $300.

I'm pissed.

Multiple Workspace Integration?

I work as a solopreneur / consultant and am often working with anywhere from 2-4 clients at a time. I often have multiple emails / Google Workspace accounts due to this. I am constantly toggling between them - specifically when trying to login into other services (e.g. ChatGPT, news outlets, software tools) and having to approve access to my own accounts, etc. over and over all day. It's such a waste of time and means I always have to have a million windows open which is not good for my ADHD.

Is there ANYWAY to integrate Google Accounts into one window? Does this even make sense? I am going nuts.

Is Gemini Worthless with a Workspace Account for Coding?

I'm pretty novice when it comes to google gemini as I mostly use Claude/gpt/vscode. I've had my own workspace account for years and figured if I'm paying for it already I might as well utilize my gemini sub more...

Well come to find out gemini CLI for VScode is now depreciated because of Antigravity.. only for antigravity to only be available for personal accounts??

I feel like us who use google workspace are just getting the sidelined here. Please correct me if I'm wrong

Completely unprofessional

I'm not sure there's anything I could do about this but I've had such a miserable time trying to contact workspace support. I've had tickets ignored, been treated unprofessionally, and even had a meeting that they set up on Google Meet to discuss the issue, which nobody showed up for. I pretty much ran out of options and don't even know if there's any place to even file a complaint?
