Built a Notion planner for people who find planners overwhelming does this actually work?

Genuinely asking Notion planner users or anyone who knows this space — I built this for people who want to get things done peacefully, without the planner itself becoming one more overwhelming thing to manage.

What's inside:

**Dump**, a page to write and edit all of your tasks

**Today**, auto-updates daily by the date its in the main page where you see when you enter the planner

**Waiting**, another view for thr today database it shows you whats overdue

**No date yet,** its for undated tasks it hides in a toggle

**Energy pages, Low, Mid, and High**, its optional, when you edit the tasks in dump you can choose whats the energy and sort the tasks by energy so it would be easier to see what tasks you got depending on your energy

**Week wins**, done tasks, its a proof of your accomplished tasks

Does this actually solve the overwhelm problem, or am I missing something? Genuinely want to know

Made a Notion life reset planner to help people do tasks without the pressure

Everybody, not just ADHD people, deserves to do tasks with peace instead of guilt. I built this planner to help anyone get things done without the pressure or the guilt baiting, something that gives you control, but also helps when you're overwhelmed.

what's inside:

📥 Dump — type anything, no sorting

🌿 Today — auto-updates daily, only today shows

🕰️ Waiting — overdue stuff, only if you tap it

📥 No date yet — undated tasks, hidden in a toggle

🪫🔋⚡ Energy pages — optional, never required

🏆 Week wins — done tasks, proof you did stuff

one tap to done.. no guilt. $7.

When your client list starts getting bigger, things get messy fast

Hey everyone!

I wanted to build something for people who have outgrown spreadsheets, but still feel like jumping into a big CRM platform is way too much.

Especially freelancers, small agencies and small businesses that already use Notion and want to keep everything in one place.

So I started building a CRM in Notion.

It started as a simple setup for managing companies, contacts, and deals, but I kept improving it over time based on what I felt was missing and what could make the workflow easier.

Now it has a connected workspace for managing clients, deals, follow-ups, and reporting without making everything feel overly complicated.

A few things I focused on:

A clean dashboard for active deals and clients

An inbox for quickly adding new leads

Deal health checks based on expected dates

Weighted deal value to estimate expected revenue from deal stages

Connected Companies, Contacts, and Deals

Simple reports with built-in templates

The main idea was to make something that sits somewhere between a spreadsheet and a full-scale CRM structured enough to be useful, but still simple enough to actually enjoy using.

I’ve put the full version together as The Pro CRM, and I’d love to hear what you think or what you would change.

I’m offering Notion CRM setup for small businesses

I’ve been working on a Notion CRM for small agencies, consultants, and service businesses, and I’m now testing a small setup service alongside it.

The template already has the main structure for companies, contacts, deals, and reports — the setup is mainly about adding your existing information and connecting everything properly.

You can send your existing spreadsheets/screenshots, or enter the information through a short setup form. You can also use placeholders like Company A / Person A if you prefer.

I’m keeping this limited to smaller setups while I figure out the workflow and improve the process.

If you’re curious about how it works, I’d be happy to share the details.

Not everyone needs a huge CRM.

I built a Notion CRM for small agencies and consultants who want their sales workflow organized without feeling like they're setting up an entire enterprise system.

It keeps Deals, Companies, Contacts, and follow-ups connected, with views for active, won, and lost deals.

If you just want to try the deal side first, I also made the Deal Tracker available separately for free.

Would love to hear what you’d want in a simple CRM setup.

Why I separated Deals from Contacts and Companies in a Notion CRM

When building a CRM for small agencies and consultants, I wanted each deal to have its own information without losing the connection to the customer.

So I kept Deals, Contacts, and Companies as separate databases, but connected them through relations.

This means one contact can have multiple deals, while each deal can still have its own:

→ Stage

→ Value

→ Follow-up

→ Expected date

→ Status

I found this makes the pipeline much easier to manage without putting everything into one giant database.

I also made the Deal Database available separately for free for anyone who wants to try this part of the workflow on its own.

How do you prefer CRMs to structure this separate databases or everything in one place?

Why I added a Deal Health check to my Notion Deal Tracker

When looking at a pipeline, the deal stage doesn't always tell you enough.

Two deals can both be in the same stage, but one might be moving normally while the other has been sitting there for too long.

So I added a simple Deal Health check based on the expected date.

The idea is to make it easier to spot:

→ Deals that are on track

→ Deals getting close to their expected date

→ Deals that are late

→ Deals that are already done

It's a small feature, but I think these little visual cues make a deal tracker much easier to scan

curious what's one thing you think a deal tracker should flag automatically?

Its free if anyone wants it

I made one part of my Notion CRM free

I built a Notion CRM for small agencies and consultants, with separate databases for companies, contacts, and deals.

I decided to make the Deal Tracker part available for free on its own.

It lets you manage individual deals, track their stage and value, connect them to a company/contact, set follow-up dates and reminders, and keep Won/Lost deals organized.

I also included an example version so you can explore the workflow without changing your own data.

If you want to see how the full CRM connects everything together, I've included a link to it as well.

A free Notion Deal Tracker for small agencies & consultants

I kept seeing people mention that their sales pipeline lives in spreadsheets, so I wanted to make something small instead of another huge CRM workspace.

I built a free Deal Tracker specifically for keeping individual deals organized.

It includes:

→ Deal stages

→ Deal value

→ Company & contact relations

→ Expected dates + reminders

→ Active / Won / Lost views

→ Deal health

→ An example version to experiment with

The example version is there so you can play around with it without messing up your actual database.

I made it free because I’d rather let people actually try it and see if the workflow makes sense for them.

If you use Notion for your sales pipeline, I’d genuinely love to know what you’d change or add.

How do small agencies keep track of follow-ups without overcomplicating their CRM?

Curious how other small agencies handle this.

Once you have several leads and deals going at the same time, I feel like follow-ups are one of the easiest things to lose track of.

You might know a deal needs attention next week, but then a few other things happen and suddenly you're trying to remember who you were supposed to contact and when.

I've been working on a Notion CRM for small agencies specifically around this kind of workflow, and one thing I found useful was having follow-ups tied directly to the deal rather than keeping a separate to-do list.

I also added a simple deal health indicator so it's easier to spot things that are coming up, late, or still on track.

Curious what other agency owners are doing for this — dedicated CRM, Notion, spreadsheets, or just calendar reminders?

What actually works for you?

What are small agencies using to keep track of leads and follow-ups?

what other small agencies are using to manage their sales pipeline.

Once you're handling multiple leads and deals, I feel like the annoying part isn't necessarily getting the leads it's remembering who needs a follow-up, what's happening with each deal, and which opportunities are still worth your attention.

I'm curious what you guys are currently using for this Notion, a dedicated CRM, spreadsheets, or something else?

And what part of your current workflow do you find the most annoying?

A Notion CRM for small agencies that want a cleaner sales pipeline

If you're running a small agency or consulting business, managing leads and deals can get messy pretty quickly.

I built this Notion CRM to keep the sales side organized without having to constantly clean up the database.

It includes:

→ Follow-up tracking — quickly see which deals need attention

→ Deal health — see which opportunities are on track, closing soon, or late

→ Weighted pipeline — see your expected pipeline value based on deal stages

→ Connected CRM — companies, contacts and deals stay connected

→ Won / Lost views — keep completed deals out of the active pipeline

→ Why Lost — record why deals didn't close so you can spot patterns later

The goal is simple: spend less time managing the CRM and more time actually managing your opportunities.

I've included an example setup so you can see how the workflow works before deciding if it's useful for you.

Hope it's useful to anyone who's dealing with a messy sales pipeline 🙌

Made a Notion CRM for small agencies & consultants

I built this mainly around keeping the sales side organized when you're managing multiple leads and deals.

It has:

→ Follow-ups, so you can quickly see what needs attention

→ Deal health to get a quick overview of how things are progressing

→ Weighted pipeline to estimate the value of your current opportunities

→ Connected companies, contacts and deals

→ Won/Lost views to keep the active pipeline clean

→ A “Why Lost” field to keep track of patterns over time

I’ve been refining the workflow for a while and thought I’d share it here in case it’s useful for anyone managing a similar pipeline.

I’m also doing a small discount for the first 5 people who pick it up
