She was losing sales because she couldn’t keep up with WhatsApp — so I built an AI agent to fix it (full breakdown inside)

A few months ago, a friend who runs a small online store told me she was ready to give up on WhatsApp orders entirely. Not because they weren’t selling — some days WhatsApp moved faster than her actual website — but because she couldn’t physically keep up with it.
Every day looked the same: voice notes asking if something came in a different color, screenshots of bank transfers sent in as “proof of payment,” the same handful of questions on repeat, and somewhere in between, real orders that needed confirming before the customer lost interest and moved on. By the time she got to some messages, they’d already bought from whoever replied first — and it usually wasn’t her.
She was doing all of it by hand, often hours behind.
I’d spent a good amount of time building workflow automations by that point, so I offered to take a shot at fixing it. Not to replace her — just to get an AI agent handling the repetitive 80% of the conversation, so she only had to step in for the 20% that actually needed a human call.
What it ended up doing:
• Confirms new orders the moment they come in, whether from her Shopify store or straight off WhatsApp
• Listens to voice notes, transcribes them, figures out what’s actually being asked, and replies — sometimes back as a voice note in a consistent voice, instead of plain text
• Reads payment screenshots, checks the amount against the order, and marks it paid, or flags it for her if something doesn’t add up
• Remembers every conversation, so it never re-asks something a customer already answered
• Pulls answers from an actual database of her products and policies instead of guessing
• Notifies her instantly and updates a live spreadsheet, but only when something genuinely needs her attention
• Follows up on its own if a conversation goes quiet, instead of that lead just disappearing
The part that actually surprised me was the cost. I expected something like this to need an expensive chatbot platform or a developer on retainer. It didn’t. The whole thing runs on pay-per-use pieces — no flat software fee, nothing sitting on a server racking up charges whether it’s used or not. Monthly running cost ends up closer to a phone bill than a payroll line. It also came together faster than I expected, since most of the work is connecting tools that already exist — transcription, image recognition, a language model, WhatsApp’s API — instead of building any of that from zero.
She went from spending most of her afternoon glued to WhatsApp to about 20 minutes reviewing what the agent flagged for her.
For anyone technical: it’s built around an AI agent with persistent memory per customer, a small vector database for product and policy lookups (basically RAG), and separate paths depending on whether the incoming message is text, voice, or an image — each gets processed differently before it ever reaches the agent. Wired together in n8n.
Not trying to sell anything here, just thought it was a solid example of how far “boring” off-the-shelf AI tools get you when they’re actually stitched together with a real workflow in mind, even for a one-person shop. Happy to answer questions if anyone’s curious how a specific piece works.
