Is There a Simple App for Tracking Invoices and Payments?

I recently started doing a little bookkeeping for my brother's business, and one thing I noticed immediately is that nobody knows exactly which invoices are still outstanding.

There are invoices sitting in emails, a few saved as PDFs, some payments noted in a notebook, and then there's the bank account to check when we're trying to figure out what's been paid.

It's not a huge number of customers, but it's enough to make this annoying.

I'm looking for something simple where we can enter an invoice, note the client, amount, due date, and payment status, then quickly see what's still open.

We don't need a full accounting platform. We already have one for the actual bookkeeping. I just want a clean way to keep track of invoices and payments without having to dig through emails every time someone asks, ""Did they pay this one?""

Is there an invoice tracker app that you've found useful for this? Or is a spreadsheet still the easiest answer?

Do You Reset Invoice Numbers Every Year?

I'm setting up my invoicing system and got stuck on something that feels like it should be obvious.

Say I start with invoice 0001 and I'm up to 0157 by the end of the year. When January comes around, do I start over at 0001, or does the next invoice become 0158?

Part of me likes the idea of starting fresh each year because it makes the records easier to look at. But I also don't want to create a headache later if there's a reason invoices should follow one continuous sequence.

Does the numbering system matter to clients, accountants, or tax records, or is it mostly up to the business?

My Client Wants a Paid Invoice After Paying Me

A client recently paid an invoice, and I thought that was the end of it.

They've now come back asking me to send the invoice again, but this time they want it marked as paid.

I've never had a client ask for that before, so I'm curious what the reason is. Is this something their accounting department needs for their records? Do businesses normally keep a copy of the original invoice showing the payment status?

I'm happy to send it over. I'm just trying to understand why they need it after the payment has already gone through.

Is this a normal request, or have I just somehow managed to avoid it until now?

How Should I Format an Invoice for Hours Worked?

I've always charged clients a fixed price for my work, but I'm switching to time-based billing for one of my clients and I'm stuck on the invoice itself.

The work is straightforward, but I don't want to send over an invoice that looks confusing or leaves the client wondering how I arrived at the total.

If you're billing by the hour, do you list the hours worked, your hourly rate, and the total? Or is there a better way to show it when the work is split across several different tasks?

I'm also wondering how much detail is normal. Do you include every individual task and the time spent on it, or just give one total for the period?

I've found plenty of invoice templates online, but they all seem to do things a little differently.

I'd rather hear from you who bill this way regularly. How do you structure yours?

Free Invoicing Software for Mac That Actually Works for Freelancers?

I'm at that slightly awkward stage of freelancing where I'm finally getting real projects, but I'm also trying not to spend money on five different subscriptions before the clients actually start paying me.

One of the things I need right now is a simple way to send professional invoices from my Mac. I was using a free trial of an invoicing program, and it did exactly what I needed. Then the trial ended, and paying another monthly subscription when I'm still waiting on client payments doesn't make much sense right now.

I don't need a huge accounting system with a hundred features I'll never touch. I just want something that lets me create a clean invoice, add my services and payment details, export or send it to the client, and keep track of what's been paid.

Once the freelance income becomes more consistent, I don't mind paying for good software. Right now, though, simple and free would genuinely help.

Portable Printer and Invoicing Software for a Small Mobile Business?

I've recently started spending more time working on the road, and I'm slowly realizing how different it feels when your vehicle becomes part office, part storage space, and part customer service desk.

There are days when I finish a job at a customer's location and wish I could handle everything right there. Create the invoice, print a copy if they want one, record the payment, and move on to the next customer without having paperwork waiting for me when I get home.

So I'm thinking about putting together a simple mobile office setup in my van.

Instead, the client explained that while the invoice becomes due after 30 days, payments are only processed on specific scheduled payment runs, which means the money may not be sent immediately once the 30-day period ends.
