A method for juggling things: a whiteboard with notes like post-its, some connecting into flows

I posted about this method, a hybrid of whiteboard + calendar where I add entries like post-its, and some connect over time, creating flows. Sharing the digital version.

The setup is a whiteboard split vertically by days and horizontally by lanes for anything I'm managing around work, life, etc. The point is to stay on top of everything I've got running at once, and see what needs my attention today, though it doubles as planning too.

It's simple, but it can get messy as things pile up.

Like a lot of people here, I take notes constantly across a bunch of areas - work, side projects, life stuff. Since I've had many things happening at the same time for a long while, I couldn't just use my diary, so to hold more detail I started using a whiteboard. I divided it vertically by days and horizontally by lanes, one per each area. There, I'd add notes every day on how each area is advancing, like a diary, and some would connect like a flow. (2nd pic)

So just by looking at the board, I can see all the active things I'm working on, what needs my attention that day, and note down what I've done. I do add notes on "future" dates as reminders / planning too. This is the system that's worked for me.

Started as a physical whiteboard I used for years, then I built a digital version when travelling made the whiteboard setup impractical, and to not be limited with space. (1st pic)

Sharing in case it's useful, but also curious how others here handle this: when your notes pile up across topics, how do you keep them separate but still with some sort of time continuity?

A visual system that helps me stay on top of everything

A bit of context: like many here, I juggle lots of things at the same time: work projects, side projects, life admin...

Just explaining what works for me. I use my A5 Muji diary + a large whiteboard.

The diary is for higher level stuff, a few key things.

The whiteboard is my go to day to day. It's divided vertically by days, and horizontally by lanes for each area across work and life I'm tracking. Each lane holds whatever's relevant: tasks, notes, reminders... some are linked like flowcharts (e.g. a task leading to another, a conversation to a follow-up).

How I use the latter: I log things as they happen. Every day I glance at the "past" columns, see where everything left off, spot what needs my attention today, act on it, and log it. I also add reminders or things I can plan forward in the right columns. The main shift is not having to hold everything in my head, keeping it all visible. So similar to a paper planner, just less space restrictions and no page flipping.

Just sharing in case it's useful for others, especially anyone who benefits from visuals or has many things running in parallel.

I used to use a whiteboard, a vertical timeline with horizontal lanes per area - each lane with a mix of notes and flowcharts. Moved to excel as couldnt get same layout, and eventually digitalsied this setup. Curious what others use, and if anyone uses similar approach.

Hi All! Sharing something I built for my own daily logging, to manage work and life in one space.

For years I tracked work and life on a physical whiteboard, using a vertical timeline, and horizontal lanes, one per area. Each morning I'd "look left," see everything I'm managing, where I left off, and identify what needs my attention today. I'd do that, and update daily as I go. Kind of a diary, planner and tracker at once.

When the whiteboard stopped being practical, decided to build it. Curious if this way of being on top of things resonates with others. Happy to hear thoughts!

I use it to keep context visible and stay on top of many things at the same time.
